5.4 Pipeline Data & Reporting: Measuring Conversion & Value

The data you consistently manage within the Opportunities section is the fuel for several key reporting features in Close Master, allowing you to measure your agency's sales performance.

  • Data Visible Directly on the Board:
    • Stage Headers: The header bar at the top of each Stage column typically displays a Count (how many Opportunity cards are currently in that stage) and a Total $ Value (the sum of the Lead Value amounts entered on all cards within that stage). This gives you a quick snapshot of volume and potential value distribution across your pipeline.
  • Dashboard Widgets (See Chapter 1.8): Several standard dashboard widgets rely heavily on Opportunity data:
    • Pipeline Value: Shows the total estimated commission value ($) of all deals currently in Open stages across selected Pipelines.
    • Conversion Rate: Calculates the percentage of deals that reached Won status compared to the total number of deals created or entering the pipeline within the selected date range.
    • Stage Distribution: Visual charts (pie or bar) showing the number or value of deals in each active stage, helping you visualize your sales funnel shape.
  • Detailed Reporting Section (See Chapter 16): The dedicated Reporting area provides more in-depth analysis based on Opportunity data, including:
    • Stage-by-stage conversion rates.
    • Average time deals spend in each stage.
    • Agent performance comparisons (deals won, value closed, conversion rates per agent).
    • Attribution reporting (linking won deals and revenue back to original lead sources).

Requirement for Accuracy:

The reliability and usefulness of all these reports depend entirely on you and your team consistently performing two key actions:

  1. Entering Accurate Lead Value: Always input a realistic estimated commission value ($) in the Lead Value field when creating or updating an Opportunity.
  2. Updating Opportunity Status: Promptly update the Status field to Won, Lost, or Abandoned when a deal reaches its final outcome. Failure to do this will skew conversion rates and pipeline value reports.
