4.4 Right Panel: Detailed Activity, Tasks, Notes, Appointments, Docs

This panel (often collapsible or appearing on the right side) provides deeper context and specific management tools focused solely on the currently viewed contact. It typically contains several tabs:

  • Activity Tab (Detailed Event Log):
    • Purpose: Provides a highly granular, filterable audit trail of all system events and key interactions related to this specific contact. It's often more detailed than the main communication feed and is essential for troubleshooting Workflows or understanding the complete customer journey.
    • Events Logged: Includes entries for: Website Page Visits (if tracking script installed), Form Submissions (often shows submitted data), Survey Submissions, Email Opens/Clicks (tracking), Workflow Events (Entered Workflow, Exited, Specific Action Completed/Failed with details), Task Created/Completed, Notes Added, Appointment Events (Booked, Rescheduled, Cancelled, Status Changed to Showed/No Show), Orders/Subscriptions created/updated (if using payments), Memberships Access Granted/Revoked, Contact Field Updates (often shows the old and new value and which user made the change), Tag Added/Removed.
    • Filtering: Use filter options within this tab to view specific types of activity (e.g., show only Workflow events, only Email events, only Form submissions).
  • Tasks Tab (Contact-Specific To-Dos):
    • Purpose: View, manage, and add Tasks that are specifically associated with this contact. Keeps their relevant to-do items organized in one place.
    • View/Manage: See a list of Pending and Completed tasks linked to this contact. Filter by status (Pending/Completed).
    • Add New Task: Click the + Add or Create Task button within this tab. Enter the Title (e.g., "Call Buyer Lead - Discuss Offer Strategy"), provide a detailed Description, Assign it to the responsible User (agent/admin), and set a Due Date/Time. Click Save.
    • Complete/Edit/Delete: Use checkboxes next to tasks to mark them as complete. Use edit/delete icons or menus to modify task details or remove them.
  • Notes Tab (Internal Team Notes):
    • Purpose: View and add private, internal notes specifically about this contact. Ideal for sharing insights, call summaries, important preferences, or collaboration points among your team. These notes are NOT visible to the contact.
    • View/Manage: See a chronological list of notes added for this contact, usually showing the note text, the user who added it, and the timestamp. Filter or search within notes if needed.
    • Add New Note: Click the + Add Note button. Type your detailed notes in the text area. Use @User Name to tag/notify colleagues if necessary. Click Save Note.
  • Appointments Tab (Contact-Specific Schedule):
    • Purpose: View all past and upcoming appointments (showings, consultations, listing presentations, calls) scheduled specifically with this contact.
    • View/Manage: See a list of appointments showing Date, Time, associated Calendar, Assigned User (agent), Status (e.g., Confirmed, Showed, No Show, Cancelled), and potentially the Meeting Location.
    • Book New Appointment: Use the + Add or Book Appointment button here to manually schedule a new appointment directly for this contact (similar to the icon in the composer).
    • Update Status (CRUCIAL Action): After an appointment has occurred, find the appointment in this list. Click on it to open details. Change the Status dropdown from Confirmed (or Scheduled) to Showed (if they attended) or No Show (if they missed it). Use Cancelled if it was cancelled beforehand. Click Save. This step is vital for triggering post-appointment Workflows and ensuring accurate reporting (Show Rate). Make it a habit!
  • Documents Tab (Associated Files & E-Signatures):
    • Purpose: Access files directly related to this contact, including both uploaded documents and contracts sent for electronic signature.
    • E-Signatures: View the status of documents sent to this contact for signing via the Payments > Documents & Contracts feature (See Chapter 14.5). Check if the document is Sent, Viewed, or Completed. Once completed, you can usually download the final, signed PDF (which includes an audit trail) directly from here.
    • Uploaded Files: View, download, or delete files that were manually uploaded directly to this contact record using the + Upload File button within this tab, OR files that were saved from Conversations messages using the "Add to Documents" action (See 3.16). Examples: Scanned documents, property photos provided by the contact, pre-approval letters.
  • Payments Tab (Financial Overview): (May sometimes be combined with Orders/Subscriptions depending on layout)
    • Purpose: Provides a quick overview of financial transactions related to this contact (if applicable).
    • View: See the contact's Transaction history (payments made, refunds issued), links to related Invoices, details of any Orders placed via Order Forms, and active/inactive Subscriptions (for recurring services or memberships). Check statuses, amounts, and dates.
  • Associations / Related Objects Tab: (Visible if the Associations feature is configured by admin - see 3.17). Shows structured links to other records, such as associated Contacts (e.g., "Spouse: Jane Doe"), linked Companies (e.g., "Employer: XYZ Corp"), or potentially linked Custom Objects (e.g., a specific "Property Listing Record"). Use + Add Association to manually create these links if needed.
  • Audit Logs (Link/Access): Look for a link or menu option often labeled Audit Logs (sometimes near the contact's name or within a ... menu). Clicking this provides access to a highly detailed, technical log of every single change made specifically to this contact record over time (field updates, tag changes, DND changes, etc.), including timestamps and the user responsible. Useful for advanced troubleshooting or security auditing.
  • Delete Contact (Link/Button): The option to permanently delete the contact record is usually found near the contact's name or within a ... (more actions) menu. Use deletion with extreme caution as it permanently removes the contact and all associated data (though recently deleted contacts might be recoverable via the Restore tab - see 3.11). You will typically need to confirm the deletion action explicitly.
