3.9 Managing Companies (Brokerages, Investors, Vendors)

Purpose:

Close Master allows you to create records for business entities (Companies) and link individual Contacts to them. This is particularly useful in real estate for organizing relationships with:

  • Other Brokerages (for co-op deals or agent recruiting)
  • Title Companies
  • Lenders / Mortgage Brokers
  • Home Inspectors
  • Appraisers
  • Real Estate Attorneys
  • Developers / Builders
  • Property Management Companies
  • Investment Groups
  • Key Vendor Partners (Photographers, Stagers, Contractors)

Accessing:

Navigate to ContactsCompanies tab.

Functionality:

  • View/Search/Filter: See a list of existing Company records. Use the search bar or filters to find specific companies.
  • Add New Company: Click the + Add Company button. Enter the Company Name, Domain (website), Phone, Address, and fill in any relevant Company Custom Fields you may have created (SettingsCustom Fields → Object: Company). Save.
  • Edit Existing Company: Click on a company name in the list to view its details and use edit options to update information.
  • Linking Contacts to Companies: Establish the relationship between individual people and the companies they work for:
    • From the Contact Record: Open the individual Contact's record. Find the Company Name field (usually in the left panel). Start typing the company name; if the Company record exists, select it from the dropdown to link them.
    • From the Company Record: Open the Company record. Look for a section or button to + Add Contact. Search for and select existing Contacts to associate them with this company.
    • Via Bulk Action: Select multiple Contacts → Choose a Bulk Action like Update Field → Select the Company Name field → Choose the Company record to link them all to.
    • Automatic Linking (Admin Setting): An administrator might enable a setting (SettingsObjectsCompany) that attempts to automatically link Contacts to Companies based on matching the Contact's email domain (e.g., automatically linking john.doe@competitorrealty.com to the "Competitor Realty" Company record if the domain matches) or based on a specific Business Name field on the contact record. Check with your admin if this is active.
  • Filtering by Company: In the main Contacts list view, use the More Filters panel to filter by Company Name to see all individuals linked to a specific company.

Using the Companies feature helps you map out your professional network and track interactions at an organizational level.
