3.15 Contact Followers: Keeping Your Team Informed

Purpose:

The Contact Followers feature allows specific users on your team to gain visibility into a particular Contact record, even if they are not the assigned Owner and if their general user permissions are set to "Only assigned data." This is useful for collaboration, allowing managers, transaction coordinators, or team members assisting on a deal to stay informed about communication and activity for specific clients without needing full open access to the entire database.

How it Works:

  • Adding Followers:
    • Manually: Open the specific Contact record. Find the Followers section (often in the left panel). Click + Add or a similar button. Search for and select the team member(s) you want to grant follower access to for this specific contact.
    • Via Workflow: Use the Add Contact Follower or Remove Contact Follower actions within a Workflow to automatically grant or revoke follower access based on triggers (e.g., add the Transaction Coordinator as a follower when an Opportunity moves to the Under Contract stage).
  • Visibility Granted: Users added as followers can typically view the contact's details, communication history, notes, and tasks, even if their standard role permissions restrict them to only seeing records they own. The exact level of visibility might depend on platform configuration.
  • Limitations: There's usually a limit on the number of followers per contact record (e.g., maximum 10 followers).

Use followers strategically to enable team collaboration on specific clients or deals without compromising overall data access controls.
