22.2 Business Profile & Company Info (Brokerage Details - CRUCIAL for Compliance)

Purpose:

This section contains the foundational information about your real estate agency. Filling this out completely and accurately is the very first and most critical step in configuring your account. This information is used extensively for:

  • Compliance Verifications (A2P 10DLC, Toll-Free, SHAKEN/STIR): Technical registrations rely heavily on the Legal Name, Address, and Tax ID/EIN entered here matching official business records EXACTLY. Inaccuracies will cause registration failures.
  • Branding: Your Agency Logo and Friendly Name appear in various parts of the system.
  • System Defaults: Default email address, phone number, timezone used elsewhere.
  • Merge Tags: Populates global merge tags like {{location.name}}, {{location.full_address}}, {{location.phone}} used in templates and messages.

Key Sections to Configure:

  • General Info / Company Information:
    • Agency Logo: Upload your official brokerage or team logo (use a high-quality image file).
    • Friendly Name: Enter the name your agency commonly uses (e.g., "Your Awesome Realty Group"). This might be used as the default Sender Name in SMS/Email.
    • Legal Business Name (CRUCIAL): Enter your agency's full, official legal name EXACTLY as it appears on your business registration documents and tax filings (EIN confirmation letter, LLC registration, etc.). Do not abbreviate or use DBAs here unless specifically instructed for compliance reasons. Accuracy is paramount.
    • Business Email: Enter your main agency contact email address. Often used as the default "From" address if not specified elsewhere.
    • Business Phone: Enter your main agency phone number.
    • Business Website: Enter the URL of your main agency website.
    • Industry: Select Real Estate or the most appropriate category.
    • (Ignore API Key unless instructed for custom development).
    • Branded Domain Configuration: (See 22.12) Set up your custom subdomain for system links here.
    • Save General Info.
  • Business Physical Address:
    • Enter your agency's official registered physical address (Street, City, State, Zip Code, Country).
    • This MUST match the address associated with your business registration (EIN, LLC, etc.) for compliance verification (A2P). P.O. Boxes are generally not acceptable for A2P registration.
    • Save Address.
  • Timezone & Language:
    • Select your agency's primary Time Zone. This affects default scheduling, reporting timeframes, and time-based workflow triggers.
    • Set the default Platform Language.
  • Business Information (Specifically for Compliance - Often a separate sub-section):
    • Business Type: Select the correct legal structure (e.g., Limited Liability Company (LLC), S-Corporation, Sole Proprietorship, Partnership, Corporation).
    • Tax ID/EIN (CRUCIAL): Enter your valid Employer Identification Number (or relevant Tax ID for your structure) exactly as it appears on official documents. This is heavily used for A2P verification. For Sole Proprietors without an EIN, processes might differ (consult The Close Agency or documentation), but obtaining an EIN is often recommended for A2P.
    • (Avoid Checking Unregistered unless absolutely certain and understand the severe limitations it places on compliance options like A2P).
    • Specify Regions of Operation (e.g., USA, Canada).
    • Click Update Information or Save. Accuracy here cannot be overstated.
  • Authorized Representative:
    • Enter the Name, Email, Phone, and potentially Job Title of the individual legally authorized to represent the business for communication compliance purposes (typically the Broker of Record, Owner, or designated Compliance Officer).
    • Click Update Information or Save.
  • General Settings (Toggles - Review Defaults):
    • Allow Duplicate Opportunity: Default ON/OFF (See 5.6).
    • Mark Emails as Invalid due to hard bounce: Recommended ON. Helps maintain list hygiene and sender reputation.
    • Validate Phone numbers...: Recommended ON. Checks number type before SMS (Mobile vs. Landline), reduces errors/costs. Uses small wallet credit per lookup.
    • Make SMS Compliant By Adding Opt Out Language: Recommended ON. Automatically appends "Reply STOP..." to outbound SMS messages sent via Workflows/Bulk Actions (check if it applies to manual sends).
    • Make SMS Compliant By Adding SenderID: Recommended ON. Automatically prepends your Business Profile Friendly Name to the start of SMS messages, helping with identification.
    • Make Email compliant by adding unsubscribe link...: Recommended ON. Adds a default unsubscribe footer to emails if the {{unsubscribe_link}} merge tag isn't already present in the template/body.
    • Click Save General Settings.
  • Call & Voicemail Settings:
    • Upload Default Voicemail Greeting: Upload an MP3/WAV file to be used as the greeting for calls to unassigned numbers or if assigned users don't have a custom greeting set.
    • Set Default Incoming Call Timeout (seconds) before calls go to voicemail or next step.
  • Duplicate Contact Settings:
    • Choose whether to Allow Duplicate Contacts (based on Email/Phone match) or prevent them. OFF (preventing duplicates) generally leads to cleaner data but requires exact email/phone matches for updates. Configure Check Method if preventing duplicates.
  • Missed Call Text Back:
    • CRUCIAL: If you plan to use a custom Workflow (See Chapter 10) to handle missed calls (e.g., sending a specific text based on which number was called or assigning a task), DISABLE this built-in toggle. Leaving it enabled while also having a workflow will likely result in the contact receiving two text messages for the same missed call.
    • If you *only* want to use the basic, non-customizable text-back feature provided here, leave it enabled and customize the default message text.
