10.7 Example Workflow: Post-Closing Follow-Up / Review Request

Goal:

Automatically thank the client after a successful closing, request an online review, and potentially add them to a long-term nurture campaign.

Trigger:

Opportunity Status Changed

  • Filter 1: Pipeline Is → Select your Transaction Pipeline (or relevant closing pipeline).
  • Filter 2: Status Changed ToWon

Actions:

  1. Wait:
    • Rename Action: Wait 2 Days Post-Closing
    • Configuration: Time DelayWait for 2 Days
    • Purpose: Allow the client a day or two to settle after the closing before sending follow-up.
  2. Send Email (Thank You & Congratulations):
    • Rename Action: Send Post-Closing Thank You Email
    • Configuration:
      • From Name: {{contact.owner.name}} - [Your Agency Name] (Agent's name)
      • From Email: {{contact.owner.email}}
      • To: {{contact.email}}
      • Subject: Congratulations on Your Closing, {{contact.first_name}}!
      • Template: Select "Post-Closing Thank You" template.
      • Body: (Example) "Hi {{contact.first_name}},\n\nCongratulations again on successfully closing on your property! It was a pleasure working with you throughout the process.\n\nWe strive to provide the best possible service, and we hope your experience with [Your Agency Name] was positive. We wish you all the best in your new [home/chapter]!\n\nIf you have any questions as you settle in, please don't hesitate to reach out.\n\nBest regards,\n{{contact.owner.name}}\n[Your Agency Name]\n{{contact.owner.phone}}"
    • Purpose: Sincere thank you and relationship building.
  3. Wait:
    • Rename Action: Wait 5 Days
    • Configuration: Time DelayWait for 5 Days
    • Purpose: Space out the thank you and the review request.
  4. Add Contact Tag:
    • Rename Action: Add Tag - Past Client + Year
    • Configuration: Select Tag: Past Client AND potentially add another tag like Closed Deal 2024 (using {{now | date: "yyyy"}} might be possible for dynamic year).
    • Purpose: Categorize for future marketing and reporting.
  5. Send Review Request:
    • Rename Action: Send Review Request via Email
    • Configuration: Action Type: Send Review RequestType: Email (or SMS if preferred and compliant).
    • Purpose: Automatically asks the client to leave an online review using the link and template configured in SettingsReputation Management.
  6. (Optional) Add Task (Closing Gift Reminder):
    • Rename Action: Create Task - Send Closing Gift
    • Configuration:
      • Title: Send Closing Gift - {{contact.name}}
      • Assign To: Assigned User (Agent) or specific Admin User.
      • Due Date: Set relative due date (e.g., In 1 week).
      • Description: "Deal closed. Send agency closing gift to {{contact.name}} at {{contact.address1}}."
    • Purpose: Remind the agent or responsible party to send a physical closing gift.
  7. (Optional) Add to Workflow (Long-Term Nurture):
    • Rename Action: Add to Past Client Nurture Workflow
    • Configuration: Select Workflow → Choose your pre-built "Past Client Sphere Nurture" workflow (which might send birthday emails, home anniversary check-ins, market updates, etc.).
    • Purpose: Automatically enroll the client into your long-term relationship building sequence.
