10.11 Using Email/SMS Templates in Workflows

For efficiency and consistency, leverage pre-built templates when sending communications via workflows.

  • Create Templates First: Go to MarketingEmailsTemplates to build reusable visual Email Templates. Go to MarketingSnippets (or sometimes SMS Templates) to save reusable text message blocks. Include necessary {{...}} merge tags/placeholders within the templates themselves.
  • Select Template in Workflow Action: When configuring the Send Email or Send SMS action within a workflow, instead of typing the message directly into the action's editor, use the Select Template dropdown menu. Choose the appropriate pre-built template from your library.
  • Benefits:
    • Consistency: Ensures all automated messages have consistent branding, formatting, and core messaging.
    • Efficiency: Faster to build workflows by selecting templates rather than re-typing or copying/pasting content repeatedly.
    • Easier Updates: If you need to update standard wording or a link used in multiple workflows, you only need to edit the Template once in the Marketing section, and the changes will automatically reflect in all workflows using that template for future sends.

Using templates is a best practice for managing automated communications at scale.
