1.8 The Dashboard: Your Agency's Performance Snapshot

The Dashboard, typically the first screen you see after logging in (once past the Launchpad), acts as your agency's customizable command center, providing an at-a-glance overview of key real estate metrics and activities. Think of it as your business's pulse check.

Purpose:

To quickly visualize important performance indicators without needing to dig deep into individual reports. Helps you monitor activity, spot trends, and stay on top of priorities.

Key Features:

  • Date Range Filter (Top Right): Crucial for context. Select the time period you want the dashboard data to reflect (e.g., Today, Last 7 Days, This Month, This Quarter, Year to Date, or a Custom Range). The data displayed in the widgets updates accordingly.
  • Widgets (Building Blocks): The dashboard is composed of individual boxes or "widgets," each displaying a specific piece of data or a chart. You can customize which widgets appear and how they are arranged.

Common & Useful Real Estate Widgets (Examples):

  • Opportunities: Widgets showing New Leads Today/Week (count), Opportunities Added (count/value).
  • Pipeline Value: A key widget displaying the total estimated commission value ($) of deals currently in specific Open stages of your Pipelines (e.g., sum of values in "Active Listing," "Showing Properties," "Under Contract").
  • Conversion Rate: Chart or number showing the percentage of Opportunities that eventually reach a Won (Closed) status within the selected date range.
  • Stage Distribution: Pie chart or bar chart showing how many deals (Count or $ Value) are currently sitting in each Stage of a selected Pipeline. Helps visualize your deal flow and identify potential bottlenecks (e.g., too many deals stuck in "Appointment Set" but not moving forward).
  • Tasks: Widget displaying your upcoming or overdue Tasks (follow-up calls, paperwork reminders, etc.), helping you manage your daily workload.
  • Lead Source Report: Chart showing which sources (e.g., Website Form, Zillow, Facebook Ad, Referral Tag - requires proper tracking setup like UTMs) are generating the most Contacts or Opportunities Won.
  • Appointments Booked: Widget showing the number of showings, consultations, or listing appointments scheduled via your Calendars within the selected timeframe.
  • Appointment Show Rate: Chart or percentage showing how many scheduled appointments were actually marked as Showed versus No Show (requires diligent status updates in Calendars).

Customizing Your Dashboard:

You have control over what you see on your dashboard.

  1. Click the Edit Dashboard button (often located in the top right corner). The dashboard enters edit mode, allowing you to make changes.
  2. Add a new widget by clicking the + Add Widget button. This action opens the Widget Library, where you can choose from available data points.
  3. Browse or search the Widget Library, which is categorized (e.g., Opportunities, Appointments, Contacts, Tasks, Reporting). Select the specific metric you want to display (e.g., Opportunities Won Count, Appointment Show Rate, Pipeline Value by Stage).
  4. Configure the widget. Give it a clear Name (e.g., "Buyer Pipeline Value - Under Contract"). Choose the Chart Type (Number, Pie, Bar, Line). CRUCIALLY, apply Filters to ensure the widget shows relevant data – for example, filter Opportunity widgets by a specific Pipeline (like "Buyer Pipeline") or specific Stages; filter Appointment widgets by a specific Calendar (like "Showing Requests"). Save the widget configuration.
  5. (Optional) Add other elements like Text Boxes (for notes or titles), Images (your logo?), Videos, or even IFrames (to embed external content like live market stats, if available) using the + Add Widget menu.
  6. Arrange your layout. Click and drag widgets to reposition them on the dashboard. Resize widgets by clicking and dragging their corners or edges to make them larger or smaller.
  7. Remove unwanted widgets. While in Edit Mode, click the ... menu on a widget and select Delete.
  8. CRUCIAL: Save Your Changes! Once you are happy with your layout, click the Save Changes button (usually top right) to exit edit mode and preserve your customized dashboard view. If you don't save, your changes will be lost.

Multiple Dashboards (If Available):

  • Depending on your Close Master plan/setup provided by The Close Agency, you might have the ability to create multiple, distinct dashboards.
  • Look for a dropdown menu (often top left when viewing the dashboard) that allows you to Create New Dashboard or switch between existing ones you've created.
  • This allows you to create focused views (e.g., a "Listing Pipeline Dashboard," an "Agent Activity Dashboard," a "Marketing ROI Dashboard").
  • You can set your preferred dashboard as the default view (the one that loads automatically) using the ... menu options when viewing that specific dashboard.
